How to take away the fear of process automation from your employees

In 2020, the auditing firm PwC surveyed a total of 141 companies in Germany, Austria and Switzerland on the topic of Robotic Process Automation (RPA). The study was intended to uncover insights into the current and future use of RPA as well as experiences with RPA in accounting.

Fortunately, it was found that more than half of the companies surveyed already use process automation through robotics. However, the survey also asked about the reasons why about 45% of the companies have not yet implemented RPA and do not plan to do so in the future.

This revealed that, in addition to the fear of too high implementation costs, complexity and difficulties in understanding, there is also a lack of acceptance by employees and companies therefore do not plan to optimise work processes with the help of RPA.

Why is there a lack of acceptance of new technologies among your staff?

Your employees probably have very different reasons why they are critical of the use of tools and software for process automation in their work area. Basically, it is important to take the concerns of your employees, colleagues and teams seriously and to give them the space to communicate these concerns openly.

Getting to the thoughts of your employees and colleagues is very simple: ask them in a personal conversation!

You'll probably quickly find that it boils down to two basic reasons why your employees are more averse to new technologies: Fear of failure or fear of loss.

Fear of failure often occurs when employees feel overwhelmed by or unable to cope with new technologies or tools.

Fear of loss, on the other hand, refers to the loss of one's own job. Your employee fears that his or her job could be taken over by software in the future, making the position redundant.

Be sure to take these concerns seriously and talk openly with your team. The fact that employees support the use of RPA and see it as an enrichment in their own everyday life is crucial for a successful implementation and also use.

How do I best inspire my employees and colleagues to automate processes?

In any case, it is important that employees, colleagues and teams understand exactly WHY the process is being optimised. Communicate this openly, repeat it regularly and explain in detail how the team and the entire company will benefit from the planned process optimisation.

Use internal workshops or mailings to get all teams, colleagues and employees involved at the same time. No one should get the feeling that he or she is being disadvantaged by delayed information or that information has even been withheld! This would only reinforce the feeling of being left out, and you should avoid this at all costs.

The best idea to get your staff excited about implementing new software is to actively involve them in decision-making and implementation. Ask them to actively contribute suggestions or alternatives, allow them to explore the topic, ask for their opinion and let them participate in the implementation. Your team should always have the opportunity to influence and feel heard at all times.

If you keep these things in mind when introducing a new tool or software, the implementation process is sure to go smoothly and everyone will soon enjoy the process optimisation.
